Document extraction is the automated pulling of structured data out of unstructured documents. In an insurance agency the inputs are declaration pages, ACORD forms, applications, loss runs, carrier quote letters, and endorsement confirmations — arriving as PDFs, scans, and email attachments.
Why agencies drown in this
Insurance runs on documents, and almost none of them arrive as data. A commercial submission may require re-keying the same exposure information across several carrier applications. A renewal requires reading last year's dec page. An account takeover requires transcribing an entire program from a competitor's paperwork.
This work is high-volume, error-prone, and completely unrewarding — a near-perfect automation candidate.
OCR versus modern extraction
Traditional OCR converts an image to text and stops. It has no idea which number is the per-occurrence limit.
Modern extraction combines OCR with a language model that understands document structure and insurance semantics. It can locate the general aggregate on a carrier's unfamiliar layout because it understands what a general aggregate is — not because someone wrote a template for that carrier's form.
That distinction is what makes extraction viable across the long tail of formats an agency actually receives.
Accuracy and the confidence threshold
Good extraction on clean documents runs high, but never 100%, and degrades on poor scans and unusual layouts.
The correct design does not chase perfection. It returns a confidence score per field, auto-accepts above a threshold, and routes low-confidence fields to a human for a quick check — with the extracted value pre-filled. The human reviews a handful of uncertain fields instead of typing forty. That is where the time actually comes back.
