What we read out of Epic

Every automation we build starts from the same four questions: who are the clients, what policies do they hold, when do those policies expire, and what has anyone done about it lately.

In Epic that maps to:

  • Client and account records — including the entity structure on commercial accounts, which matters because outreach addressed to the wrong contact on a multi-entity account reads as carelessness
  • Policy records — line of business, carrier, premium, effective and expiration dates

How we get at it

Most Epic engagements begin with scheduled report extracts rather than API integration. This is a deliberate choice, not a limitation:

  1. Report definitions in Epic are transparent and reviewable by agency staff, so nobody is guessing what the automation sees
  2. Extracts can be scoped narrowly and expanded, rather than starting with broad access
  3. It works regardless of the agency's API licensing tier

Where an agency's licensing includes API access, we move the read path over once the data model is proven. The sequence matters: prove the workflow on extracts, then optimize the plumbing.

Writing back

An automation that reads Epic but never writes to it creates a second version of the truth, and within a quarter nobody trusts either one.

How write-back works depends on the same access question as reads. Where the agency's licensing includes the Applied Epic API, every automated touch — an email sent, a text delivered, a reply received, a task escalated — is written back as an Epic activity against the correct account, attributed to the assigned producer or CSR. On extract-only engagements, where no API write path exists, we deliver a daily activity file formatted for Epic's import tooling plus a same-day digest to the assigned CSR, so the history still lands in Epic — on a batch cadence rather than in real time. Either way, when a CSR opens the account the automation's work is part of the history, in the place they already look; the audit determines which path your licensing supports before anything is promised.

  • Expiration dates that live in custom fields rather than the standard policy field, because a previous ops manager set it up that way
  • Duplicate client records from account takeovers and mergers, which cause double outreach

  • Stale producer assignment on accounts that changed hands

None of these are exotic. All of them break renewal automation silently if you don't look first, which is why the audit precedes the build.

What a rollout looks like

Week 1 — Report definitions built, first extract reviewed with agency staff, data quality issues catalogued and triaged.

Weeks 2–3 — Renewal sequences configured against real x-dates for one segment, usually personal lines renewals, running in review mode where staff approve each send.

Weeks 4–6 — Review mode lifted on proven segments, lead response and quote follow-up added, activity write-back verified end to end.

Ongoing — Weekly exception review, classifier tuning, and expansion to commercial renewal cycles, which run on a longer 90-to-120 day clock and need their own sequences.
