Intake Classification

Intake classification is the automated sorting of inbound agency communications by type, urgency, and owner — deciding whether a message is a certificate request, a claim, a billing question, or a new lead, and routing it accordingly.

Intake classification is the automated sorting of inbound communications by type, urgency, and owner. It answers four questions about every message arriving at the agency: what is this, how urgent is it, whose is it, and what does it need next.

The categories that matter

A workable taxonomy for an independent agency:

  • New business inquiry — highest urgency, response time directly determines conversion
  • Certificate request — high volume, deadline-driven, largely templatable
  • Endorsement request — a policy change to be processed and tracked to confirmation
  • Billing question — often resolvable from data already available
  • Claim / first notice of loss — urgent, and must reach a human immediately
  • Renewal response — a reply to outreach, must suppress any pending sequence
  • Carrier correspondence — non-urgent but frequently action-bearing
  • Spam and vendor solicitation — the largest category by volume in most agency inboxes

Why this is the first automation to build

Classification is upstream of everything else. Response-time targets, routing rules, and drafting assistance are all downstream of knowing what a message is. An agency that fixes intake gets compounding benefits across every other workflow; an agency that automates drafting on top of an unsorted inbox has automated the wrong end.

The design rule

Classification should be confident or escalating, never quietly wrong. When the model is unsure, the message goes to a human queue rather than a guessed category.

The failure mode to engineer against is not misfiling a vendor email — it is misfiling a first notice of loss as routine correspondence. Set the thresholds so that the categories carrying real consequence escalate readily, and accept a slightly higher review load in exchange.
